We are currently hiring for the following position:

PA to Director

JOB PURPOSE

Improve current organisation of the company providing a comprehensive level of administrative and organisational support to Founder, ensuring he is fully supported to enable smooth and efficient running of the company.

Key Responsibilities

  • Acting as a first point of contact, dealing with correspondence and phone calls

  • Extensive diary and agenda management across time zones and company departments

  • Providing background information on all external and internal meetings, making sure founder is fully prepared for each meeting

  • Supporting production of presentations and papers

  • Travel arrangements including flights, hotels, taxis and comprehensive travel itineraries

  • Processing expenses in line with company policy

  • Email highlighting and correspondence

  • Handling IT and maintenance queries

  • General office administration e.g. ordering of stationery

  • Organising team meetings and assisting in organising larger company events

  • Running of ad-hoc errands

  • Partner/contact distribution list creation and ongoing management for communications (both internally and externally)

  • Maintaining filing systems

  • Helping personal administration

  • Reminding founder of tasks and deadlines

  • Implementing and maintaining procedures/administrative systems

  • Proactively engaged in client outreach, retention, and up sale efforts

  • Highly organised, detail-driven and attentive

  • Well presented with Self-starter attitude

  • Honest and reliable

  • Confident in speaking with people at all levels of seniority

  • Excellent interpersonal skills

  • Flexible and able to re-prioritise near-term assignments

  • Takes ownership of tasks, and follows responsibilities through to completion

  • Professional with high degree of integrity

  • Discreet, with an understanding of confidentiality issues

  • Able to work under pressure

  • Able to work on own initiative and follow direction as needed

  • Commercially driven

SKILLS & EXPERIENCE

  • Excellent communication skills including written and spoken English, well-mannered and cold tempered

  • Ability to remain calm in a high pressure environment

  • Impeccable copywriting and proof-reading skills

  • Computer literate, particularly excellent in word processing and IT skills, including knowledge of a range of software packages

  • Understanding and adhering to the Exec Admin processes and ways of working – filing, file naming conventions, cover and handover procedures

  • Flexibility and adaptability to juggle a range of different tasks and to work extra hours to meet deadlines

  • Strong administrative and organisational skills with the ability to multi task

  • Experience in using technology for meetings (Microsoft Teams, zoom etc)

  • Ability to research, digest, analyse and present material clearly and concisely

  • Ability to work as a part of a team, whilst also demonstrating initiative and flexibility where necessary

  • Preferable: previous POS experience

  • Highly Preferable: Italian speaker / proficient in written and spoken Italian
